Event Services and Venue Rental Agreement

This Rental Agreement is made on and entered into by and between Chinelos Events, Inc. and (the "Renter").

Whereas the Renter desires to rent the facility and contract catering services from Chinelos Events Inc on the terms and conditions set forth herein, and Chinelos Events Inc is willing to provide the facility and services on such terms and conditions.


A. Event & Service Details

Upon execution of this Agreement and payment of the required deposit, the Chinelos Events Inc shall be reserved for Renter on the following terms:

Catering Menu and Service (Products Chosen)

The following line items, products, and services were selected during the booking process and are included in this agreement:

  • Chinelos Catering will feed only the amount of people specified in this contract and will not be responsible for exceeding guests.
  • Any changes to the menu must be made at least one week before the event and will be subject to charges if necessary.
  • A $200 per hour will be charged if exceding the 3 hrs of service.
  • Allergies to Proteins, starch (gluten), and dairy must be advised when creating this menu.
  • Chinelos is not responsible for organization or coordination of any event, except for catering and wait staff if hired.

B. Payment, Deposits, and Cancellations

Financial Terms

  • The total agreed-upon price for all Event Services and Venue Rental is ****.
  • A non-refundable deposit of **** was required and processed to secure the booking date.
  • The remaining balance due is ****.
  • **Final full payment** must be received two weeks prior to the event or as agreed. Final rental payment is due **30 days** prior to the scheduled event date.
  • Cash, personal check, money orders or credit cards are accepted. Credit card charges will be given an additional 4% surcharge.

Security Deposit

  • A refundable $500 damage deposit is required to secure your date. A Credit Card security agreement must be filled to pay for repairs, property damage or loss.
  • This deposit must be received no later than **Thirty (30) days before the event**.
  • If damages, losses, or repairs need to be done due to improper use of the space, this security deposit will be used to cover the first $500 dls and then the reminding balance will be charged to the CC on file.
  • Refund can be picked up at the Chinelos Event Center location no later than two (2) weeks after the event date.

Cancellations and Reschedule

  • Cancellations must be made before two weeks of event and **50% from total bill or down payment will be lost**.
  • If leaser wants to cancel, he/she must prove just cause to qualify for cancelation, and if Chinelos Event Inc Deems just grounds for request of cancellation then it must be in writing no later than 90 days before the scheduled event or the payment will be withheld unconditionally.
  • Therefore, all payments made or due to Chinelos Event Inc shall be fully earned and deemed non-refundable.
  • Once a contract is signed and payment is made to save your event date it becomes non-refundable under no circumstances.
  • In the event of major causes your event will be re-scheduled to the nearest available date. Must be a similar date and current price (Prices are subject to change).

C. General Rules & Liability

Venue Use and Time

  • The event hall is rented as is condition and must be left in its original state thereafter.
  • Rental of the site includes the use of the entire inside of the Grand Hall, Prep areas, bridal changing room, restrooms, and the outside patio area. No events may take place or can be set up in any other common area.
  • Use of the property is available as agreed on the hours on this contract. All festivities, including amplified music, must conclude no later than 2:00 AM or as required by state regulations.
  • The contracted event time must be respected. If the hour change happens during your event, you are obliged to pay for the service time regardless of backing up the clock. A charge of $500 dls per hour will be applied and due immediately if the timeframe is not respected.
  • The capacity of the building is 250 people maximum; however, wedding groups are limited to 227 people maximum plus catering staff and other vendors inside the building including the patio areas. Violating this rule will terminate your contract during your event. Initials:

Cleaning and Setup

  • Chinelos Staff will set up tables and chairs belonging to the venue according to your specifications on the layout provided from you two weeks before your event.
  • CEC will not make any changes once the set-up is completed and/or the guests has arrived at the site. Any changes to the layout such as “flips” are to be completed by your planner, Coordinator, decorator, or someone else.
  • Renters are ultimately responsible for setting up, taking down, bringing their own trash bags and cleaning up at the end of the rental period or as agreed.
  • The prep/kitchen area must be left as it was given to you. Initials:
  • All garbage must be removed from property to the dumpsters behind building. Caterers are required to wipe down / mop up all areas where food has been present.

Alcohol and Vendors

  • Renter must provide a Limited Special Occasion ABC Permit at least two weeks in advance to allow you to serve alcohol at the event.
  • Bar staff and Chinelos Events Inc staff is authorized to close the bar down if alcohol consumption becomes a dangerous situation and is the cause of damage to the property.
  • All Vendors working at Chinelos Events Inc shall carry and maintain in full force and effect while working at Chinelos Event Hall, a worker’s compensation insurance, general liability insurance and policy endorsement naming Chinelos Events Inc as an additional insured.
  • Renter is fully responsible for non-approved vendors regarding cleaning up, garbage removal, conduct and damage or excessive cleaning for Chinelos Events Inc staff.
  • If client is using a catering company not on our preferred list and/or bringing your own food and/or does not agree to sign the “vendor policy” an additional refundable cleaning/damage deposit of $350 will be required by the renter.

Open Flame and Smoking

  • No cooking is allowed on site. All Catering companies must be self-contained with hot boxes or can prepare and cook meals within self-contained kitchen/trailers. Kitchen trailers/vendors can park in the designated parking lot only.
  • The use of propane heaters inside the building or outside on the deck and on the Grand Lawn is prohibited.
  • No smoking is allowed inside the building. Smoking is only allowed in the designated smoking area on the lawn area and in the front of the building.
  • Any smoking materials debris found inside the building or on the patio within 24 hours of the event will result in immediate forfeit of the $500 refundable deposit.

Insurance

  • Renter shall obtain general liability insurance covering the day of the event with the minimum amount of **one million dollars** in a form and amount satisfactory to Chinelos Events Inc.
  • A certificate of insurance and a policy endorsement naming Chinelos Events Inc as an additional insured on the policy shall be provided to Chinelos Events Inc at least **ten (10) business days** before the day of the event.

D. Hold Harmless and Acceptance

HOLD HARMLESS (CEC) CHINELOS EVENT CENTER

I, the undersigned, am aware of attending an event during a pandemic and understand the laws for mask coverings in public, social distancing rules, handwashing techniques and avoiding – NOT ATTENDING such events if I have been exposed to COVID-19 whether I am aware or not, whether I have been sick, exhibiting a fever, cough, sore throat or have flu like symptoms. I am signing this waiver to hold harmless anyone present at Chinelos Event Center, the owners, the officers, the staff, the contractors, the vendors, the guests, the host of the event and any other person present whether mentioned or not. I will hold harmless, release all liabilities, and take personable responsibility for my own health and safety while present on the CEC property.

I/We have read and understood this agreement and the policies it contains. I understand that if I/We or any of the guests or vendors at the event does not comply with this agreement or the policies the event may be immediately terminated by Chinelos Events Inc, in its sole discretion, and/or all deposits made and retained by Chinelos Events Inc. I understand and agree that, in addition, I/we will be responsible and liable to Chinelos Events Inc for any costs exceeding the amount of the retained deposit.
